If you are in a department that has a Technology Coordinator, please work with that individual to have your items surplussed. 

When retiring computers and other equipment care must be given to assure that any information saved on the equipment is securely erased or destroyed.  Many devices, not just computers, have hard drives that may have sensitive data. To maintain security, it is extremely important that this data is erased or the hard drive shredded.  If you have any questions about data on a device before surplussing, email askIT@albany.edu. contact the ITS Service Desk.

Computers

  1. Email askIT@albany.edu stating that you have computer(s) that need to be surplussed.
  2. ITS will remove the hard drive and have it securely shredded.  The rest of the computer will be left for Asset Management to process. 
  3. Fill out this Asset Management Form in order to have the computer removed from your inventory.

Tablets and Phones

  1. Email askIT@albany.edu stating that you have tablet(s) or phone(s) that need to be surplussed.
  2. ITS will reset the phones/tablets to factory settings and leave the devicesReset your device to factory settings.  This will erase all of your data.  Most devices have this feature under Settings.  If you need assistance, contact the  ITS Service Desk.
    1. Instructions for iPhone, iPad and iPod Touch.
    2. For other phones, google the model of your phone or contact the ITS Service Desk for assistance.
  3. Fill out this Asset Management Form in order to have the phone/tablet removed from your inventory.
  4. Once Asset Management removes the devices from inventory, email askIT@albany.edu to contact the ITS Service Desk.  ITS will pick up the device(s) and have the chip in the device securely shredded.
