Single Upload Instructions
A corresponding archival object must already exist in ArchivesSpace with a corresponding refID for you to upload a digital object to it. You have presumably already uploaded your asinventory sheet into ArchivesSpace, or if you are interfiling into a preexisting collection, the object already exists.
The single upload will use the:
The package ID
The id of the package (in the backlog folder) that you wish to upload from

Options are:
Png
Tif
Jpg
Pdf
For audio: ogg & mp3
For video: webm
Optional: Sub path
If there are multiple files in a package (especially if they are all the same file type), you will want to point the app to the specific files you want to upload. To use this you must select the “Use subpath” checkbox.
Create PDF alternative rendering (ignored for A/V)
This option is always selected so that a pdf version of the object is created for users to download from the website. You should unselect it for A/V materials.
Ref ID for the individual item
Options are:

You should check with the Supervisory Archivist to see if we own the copyright to the material (which would be disclosed during the MOA) before making this selection.

Public Domain
Unknown
If Unknown you must add the “rights statement”. If CC BY, CC BY-NC-SA, or Public Domain was entered, “rights statement” will be left blank.
OR
If the license is unknown, you must select the “In Copyright- Educational Use Permitted” statement should be selected.
Optional: Add Content Warning
This is a space to write warnings for an individual item. If the item has already inherited warnings at the collection or series level, they do not need to be repeated here. However, if the item deviates from the rest of the material in the collection/series and a content warning feels warranted, it should be added in this box here.
Add Item Records
Also under the Single Uploads tab is the “Add Item Records” tab which allows you to add up to two items to ASpace at a time. This does NOT create new ArchviesSpace records, it creates child objects for a preexisting archival object.
To add items, you will need:
ArchivesSpace ref_id

Recreate DAO
The “Recreate DAO” tab creates changes and updates within the “Spe-DAO” folder. Basically, it isolates each of the steps that go on behind the scenes of the upload process and allows you to perform the specific action needed. This is most commonly done when you have made updates/changes to the packages within the Spe_DAO, like deleting/renumbering pages, updating transcripts etc. If you make these changes without rerunning the corresponding step, the website will not be updated and you will not be able to “see” the changes.
The options are to:
Rebuild Manifest
The manifest connects the contents to the image viewer (IIIF). It is a description of the structure and properties of the compound object and carries information needed for the client to present the content to the user, such as a title and other descriptive information about the object or the intellectual work that it conveys. If you make changes to any aspect of the Spe_DAO package, you have to rebuild the manifest to see the changes reflected on the website.
Create Thumbnails
Thumbnails are automatically generated during the upload process, but if updates are made, you may need to update the thumbnail to reflect these changes.
Create PTIFs
If you update the original or derivative files within the Spe_DAO folder, you must update the PTIFs so that the actual object is reflected.
Rebuild PDF
If you update the original or derivative files within the Spe_DAO folder, you must update the PDF so that the downloadable version of the content is uploaded.
Recognize Text (OCR)
If you update the PDF, you will need to re-OCR the PDF as the transcript will contain the old version.
Transcribe AV
If you update the media, you will need to re-transcribe the AV as the previous transcription will contain the old version.
Rebuild Entire IIIF Object
You may also choose to just rebuild the entire IIIF object instead of doing multiple individual steps. If there is only one step to be done, please try to only do that one step as rebuilding the entire object does take significantly more time.
Rebuild Entire IIIF Object (skipping PDF)
This is the same as rebuilding the entire object, it just does not update/change the PDF, nor does it re-OCR that PDF.
