Zoom Settings for Security, Privacy, and Managing Participants in Class Meetings

Settings for Faculty and Students

The following settings have been established for all faculty and students in the UAlbany Zoom campus account to provide basic security while allowing individuals the flexibility to adjust settings to meet the specific needs of their meetings.

Require all meetings be secured by at least one security option

STATUS: ON, LOCKED

Require that all meetings are secured with one of the following security options: Passcode, Waiting Room, or Require authentication to join. If no security option is enabled, Zoom will secure all meetings with Waiting Room. 

NOTE: Because Passcode is ON, LOCKED, this security condition would automatically be satisfied, leaving faculty the option to turn off requirements for either Waiting Room and/or Authentication, if desired.

Require a Passcode when scheduling new meetings

STATUS: ON, LOCKED

A passcode will be generated when scheduling a meeting and participants require the passcode to join the meeting.

NOTE: enable the Embed passcode in invite link for one-click join to make it easier for participants to join meetings.

Only authenticated users can join meetings from Web client

STATUS: ON, LOCKED

The participants need to authenticate prior to joining meetings from web client.

Waiting room active by default

STATUS: ON, UNLOCKED

The Waiting Room option will be selected by default, but you have the option to disable the Waiting Room, if desired.  You can specify which type of participants will be held in the Waiting Room.  

Join before host

STATUS: ON, UNLOCKED

This option will be OFF by default, but you can enable participants to join meetings before the host arrives. 

Dial-in Participants

People who join your meeting by phone will need to enter a numeric code to join.  This passcode is provided in the invitation that you send and also within the meeting for users who join via the computer.

It is best for users to first join the meeting on a computer or device app first and then dial-in for audio because they can link their phone number to their Participant ID for a better experience.  People who are not able to join the meeting on a computer or device app, will be identified in the meeting by a phone number and they will be held in the Waiting Room until you admit them.  If you expect people to join your meeting via dial-in only, be sure to note their phone number in advance so you admit the right individual to the meeting.

Hide participant profile pictures

STATUS: ON, LOCKED

In meetings of faculty and student Zoom accounts the profile picture for participants will not be displayed.

Adjust settings to enable the tools you need

ITS has established default settings that leave some tools disabled by default to maximize security.  You can adjust some of these settings to enable the tools you need.

  • Screen Sharing is enabled as a default for the meeting host only.  You can adjust this setting to let you enable it for your students when needed.

  • Whiteboard is enabled as a default.  All meeting participants will be able to use the Whiteboard and you can retract this permission during your meetings. 

  • Annotation is enabled as a default.  All meeting participants will be able to use the Annotation features and you can retract this permission during your meetings.

  • File Sharing is disabled as a default.  Students cannot share files through the Chat window.

  • Chat is enabled as a default.  Consider your and students' needs for these features.
