All University faculty, staff, and students are licensed to host Zoom Webinars with up to 500 participants.  To host meetings over 500 participants, faculty and staff may reserve a Zoom Webinar Webinar license for presentation style events with large audiences with up to 1,000 participants. For all other purposes, please use Zoom Meeting to host meetings with up to 300 500 participants. All faculty, staff and students may access Zoom at https://albany.zoom.usLearn more: Zoom Meetings vs. Webinars. 

Zoom Webinar will be used for presentation style events that will have more than 300 than 500 attendees and/or require the following features: 

  • Only share videoaudio and screen from the webinar hosts and panelists 

  • Allow webinar attendees to only view the webinar hosts and panelists 

  • Manage questions from attendees with Q&A, Polls and Chat

ITS has a limited number of Zoom Webinar licenses to be shared across the campus and can accommodate up to 1000 1,000 participants.  To accommodate anticipated attendance for an event, the following Zoom Webinar Licenses are available:

Request

To reserve a Zoom Webinar license, confirm availability on the Zoom Webinar Request Calendar and submit your request.  Zoom Webinar license requests should be submitted as early as possible but not later than five business days before the event date. You must submit a separate request for each event.  For recurring events, please submit request individually. ITS will review your request and respond within three business days. Once your request is approvedconfirmation notice will be sent to the requestor and/or host. 

Event Management Support - By request, ITS is available M-F 8am-5pm to provide guidance during a practice session , but does not provide on-site or in-meeting support during the webinar.
