When retiring computers and other equipment care must be given to assure that any information saved on the equipment is securely erased or destroyed.  Many devices, not just computers, have hard drives that may have sensitive data. To maintain security, it is extremely important that this data is erased.  If you have any questions about data on a device before surplussing, email askIT@albany.edu. 

Computers

  1. Email askIT@albany.edu stating that you have computer(s) that need to be surplussed.
  2. ITS will remove the hard drive and have it securely shredded.  The rest of the computer will be left for Asset Management to process. 
  3. Fill out this Asset Management Form in order to have the computer removed from your inventory.

Tablets and Phones

  1. Email askIT@albany.edu stating that you have tablet(s) or phone(s) that need to be surplussed.
  2. ITS will reset the phones/tablets to factory settings and leave the devices.
  3. Fill out this Asset Management Form in order to have the phone/tablet removed from your inventory.
  4. Once Asset Management removes the devices from inventory, email askIT@albany.edu to have the chip in the device securely shredded. 

Printers

  1. Email askIT@albany.edu stating that you have a printer(s) that needs to be surplussed.
  2. ITS will reset the printer to factory settings.
  3. Fill out this Asset Management Form in order to have the printer removed from your inventory.

Items Ordered through Sponsored Programs

  1. Items that were purchased through Sponsored Programs should have a red and white label  Click here and scroll down to Research Foundation Assets and then Sample Research Sponsor Tags to see an example.
  2. Reach out to the owner of the item to see if they want it returned.
  3. If it is determined that the item should be surplussed, go through steps above.
