  1. Log into your UAlbany Mail mailbox.  Click Options, See All Options:

  2. Click Groups and you will see all Public Groups you belong to as well as Public Groups you own.

  3. Select a group you own and wish to manage, and click Details.

  4. A window will pop up giving you options you can manage for your group.  To manage who can send messages to your group, click *Delivery Management *to open that section.

  5. The section will expand, giving you the option to allow either "Only senders inside my organization" or "Senders inside and outside of my organization" to send messages to this group.  Image Removed
  6. If you would like anyone with an email address anywhere in the world to be able to send email to this group, select "Senders inside and outside of my organization". To restrict sending to members of the University community, check "Only senders inside my organization".  To further restrict to only one or several specific people, you can click the "Add" button.

  7. A window will pop up where you can search for and select members from the GAL (Global Address List).  For each person you would like to have the ability to send messages to your group, type in part of each person's name, one at a time into the search field at the top.  Select a name and click Add to add that person or mailbox to your group.  When you have added everyone you wish to add, click OK.

  8. You will be returned to the previous view and will see the list of members of your group.  Click Save to save these changes.

Note

If your Distribution Group was not initially set up to permit senders outside of the UAlbany Mail system:

  • If you remove everyone from the delivery management list, then anyone inside the UAlbany Mail system will be permitted to send to the group if they know the name/address.  

  • When the delivery management list is empty, the system will present the owner with a message indicating that only UAlbany Mail customers may send it to the group.

  • In order to allow senders outside the UAlbany Mail system to send emails to your Distribution Group, submit an ITS Service Desk ticket requesting this be changed for your group.

Instructions

  1. The direct link to manage your Distribution Groups is https://admin.exchange.microsoft.com/#/groups.  If that does not work, try the following steps.

  2. Log into your UAlbany Mail mailbox using the Outlook on the web.  Click the gear icon at the top right of OWA, then click on General and then select Distribution groups on the left and then the link for "this portal":

  3. You will see all Distribution groups you belong to as well as Distribution groups you own. Select Groups I own:

  4. Select the name of the group you wish to manage and the options for that group will open on the right:

  5. Select the Settings tab.

  6. Select Edit delivery management.

  7. Set the delivery management settings you prefer.

  8. Select Save to save your changes, or X at the top right to leave without saving.
