Uploading Single Digital Objects to Hyrax
Files must already be arranged and described in ArchivesSpace and exported and available in Arclight
Uploading files to Hyrax
Go to Hyrax and login, or create an account and request uploading access
Use your albany.edu email
Let Greg know when you create an account and return when you have upload permissions.
Once you have upload permissions, you need the ref_id for the item you are uploading. You can either get the ref_id though Arclight or ArchivesSpace.
Arclight:
go to Arclight, find the file that represents the digital object you want to upload. From the URI, copy the long string of letters and numbers right after the “aspace_”. This is the unique ArchivesSpace ID for that record.
Notice the collection ID is in the URI as well.
ArchivesSpace:
Login to ArchivesSpace and find the file that represents the digital object you want to upload. Copy the ref_id listed under Basic Information
After you have the ref_id, in your Hyrax Dashboard, select “Works” on the left side menu
Select the “Add new work” button on the right side
For most cases, select “Digital Archival Objects” and then the “Create Work” button.
In the “Descriptions” tab, enter only the ArchivesSpace ID, and the Collection number
Select the “Load Record” button to pull additional metadata from Arclight (JavaScript file)
Add additional Metadata, Resource Type and Rights Statement is required, while “Additional fields” are not
In the “Files” tab, browse and upload any files represented by the Arclight record. These can be PDFs, Office documents (doc, docx, ppt, xlsx, etc.), or any image file.
Select the Visibility of the work on the right side, and Save the work.
Connect Single Digital Objects to ArchivesSpace
Once you've uploaded a single item to Hyrax, you have to complete the Connecting to ASpace form in the Processing app. This step adds a new Digital Object record in ArchivesSpace that points to the digital object in Hyrax, and also creates a .tsv file copy of the metadata in Hyrax in the preservation package under the \metadata folder.
Go to the Connecting to ASpace form
Enter the package ID, which is the folder name of the processing package created by the Ingest step. The package ID is also listed in a text file called "package_ID.txt"
Find the URL for the object you uploaded in Hyrax:
Enter the Hyrax URL and click "Submit"
Unlike other steps in the Processing app, Connect to ASpace runs in real time, not in the background
