Create digital object links in ArchivesSpace

After files are uploaded and live in Hyrax, this step links archival objects in ArchivesSpace to the files in Hyrax

  1. After files have been Batch Uploaded into Hyrax, ensure that the .tsv file in the \metadata contains the Hyrax NOID identifiers (such as daos/r494w446f) in the URIs column (column 2)

  2. Run the Build ASpace Update tab in the Processing app

    1. This step will use the Hyrax Upload .tsv to try to update every .xlsx file directly in the \metadata folder and assume it is an asInventory spreadsheet

      1. You may have other .xlsx files in the \metadata directory, to avoid these, you can:

        • Use the Single spreadsheet option in the Processing app to target only a single .xlsx file

        • Place other .xlsx files in a subfolder within the \metadata folder. These will be ignored.

    2. This process reads the DAO column in each asInventory spreadsheet and tries to find the matching row in the Hyrax upload .tsv (ua200_2Wmfb6o4Vjb2Hs7jCuvqSY.tsv)

    3. It then uses the Hyrax NOID ID, (like daos/4f16cm72t) to derive the link to the object in Hyrax (like https://archives.albany.edu/concern/daos/4f16cm72t), and places that in the DAO column of the asInventory sheet

  3. This will create new asInventory sheets in the \metadata folder with the prefix "updated_"

  4. Use asUpload.exe to re-upload these updated asInventory spreadsheets to ArchivesSpace

    1. This will create new digital objects in ArchivesSpace

  5. Don't forget to unpublish/republish to make sure the collection is exported overight!

Once all the files in a package have been described and uploaded, you can finalize the package into an AIP for preservation storage
