Deprovisioning Access Changes
Update Your Account Status
The University's Human Resources system controls a user's status. If you believe you or your employee's status is incorrect, contact the Office of Human Resources (ORM) at hr@albany.edu, as ITS cannot change employment status. If these changes are expected, please review each employee's access to departmental resources and update it as needed. Â
Pending Closure:
Effective immediately, access to Brightspace and the Library are removed.
IAS access will be removed as early as 7 business days.
Access to the University computer account and email will be removed in 30 days.
Access to shared resources, such as Resource Folders, Microsoft Teams, Office 365 Groups, etc, may be removed at the resource manager/owner's discretion before 30 days.
Questions about employment status should be directed to the department or HR.Â
Rehired/Extended:
Appointments for these employees are being renewed. Ensure ORM receives paperwork to update their record within 30 days to avoid a break in employment. If paperwork has already been submitted, no further action is needed. Â
If the user has access to IAS and the HR record lapse is greater than five days, please notify IAMG; otherwise, access to IAS will be removed.
Role Change:
IAS access will be removed as early as 7 business days.
Access to Microsoft 365 Apps and other University resources, such as resource folders, will be removed at the resource manager/owner's discretion.
Transfer:
Transfers will be reviewed case by case. Â If ITS determines they are not within the same departmental areas, access will be removed, and new security will need to be requested by the new department via our IAS Forms. Â If ITS determines they are similar departmental areas and may be performing similar job duties, the new EAS contacts will be asked to review security to determine which access is needed in the new position/department.
