Employee and Student Computer Account Lifecycle and Preparation for Deactivation

Important Information About the Life Cycle of Your Computer Account

Faculty/Staff

The University provides faculty/staff with an official albany.edu email account and access to a variety of campus IT services for the duration of their employment.  Those who are granted Emeriti status may retain their UAlbany Mail account based on an annual renewal process. For more information pertaining to Emeriti status please see the Emeriti FAQ.

  1. If you wish to retain any current mail messages, please follow the instructions provided here.

  2. If you wish to retain any files saved in your U: drive, please follow the instructions provided here to access your U: drive and back up your files to a thumb drive or other location.

Students

The University provides all students with an official albany.edu email account and access to a variety of campus IT services for the duration of their studies at UAlbany. Accounts are deactivated for all students (undergraduates, graduates, non-degree, withdrawn) one year after the last semester they registered for and completed classes. IT services are intended for current students. By deactivating accounts for those no longer studying at the University, these resources can be reclaimed for active members of the campus community.

When accounts are deactivated, students no longer have access to their albany.edu email address, the messages in that account, electronic files, or any services that require logging in with a NetID and password, with the exception of MyUAlbany. Shortly after deactivation, all information associated with the account is deleted. Please note that deleted files (including email, documents, and web pages) are irretrievable. Students will still be able to access MyUAlbany using their NetID and password.

Students returning to the University will automatically have their accounts and access to all University-provided IT services after they have made their initial deposit (matriculated).  Files or emails that were previously stored in accounts are irretrievable. To gain access they will need to reset their password.

Students who have graduated or undergraduate students who have been academically dismissed from the University will have one year of limited access to IT services, such as email.  After one year they will receive an account deactivation notice.  Students with ineligible statuses may lose access sooner.

Students who believe they received an account deactivation notice in error should call the ITS Service Desk at (518) 442-3700 or submit an online request.

  1. If you don't already have a personal email account, set one up with an independent provider.

  2. If you wish to retain any current mail messages, please follow the instructions provided here.

  3. If you wish to retain any files saved in your UNIX home folder (S-Drive), please follow the instructions provided here to access your S-Drive and back up your files to a thumb drive or other location.

  4. If you have associated your UAlbany email address with any personal internet account or web site (i.e. Twitter, Facebook, LinkedIn), please update these account(s) in a timely manner to associate the account with your personal email address.
