What is the Group Access Manager?
The Group Access Manager is a web-based means to interact with the software ITS uses to create, manage and maintain accounts.
What does the Group Access Manager do?
The Group Access Manager enables IAM Contacts and group managers to see all the departmental resources that they manage, who has ownership/management rights to these resources, and to add or remove access for other group members.
How do I access the Group Access Manager?
Group Access Manager can be accessed through the ITS web site or directly at https://idm.albany.edu. For off campus use, the VPN is required.
Click on the icon under Quick Links on the right side. Log in using your NetID and password.
What can be managed with the Group Access Manager?
Departmental mailboxes
Resource calendars
Shared folders
Printers
VPN access groups
Applications
What cannot be managed with the Group Access Manager?
Resources that exist solely in the Office 365, such as Distribution and Microsoft 365 Groups.
Special departmental groups (These have a prefix of 'Dept - ')
Groups specifically excluded from the Group Access Manager
Non-individual computer accounts (Generic accounts)
How do I arrange access to a group that isn't in the Group Access Manager?
You will need to submit an ITS Service Desk Request. The Identity and Access Management Group will contact you.
Who has access to the Group Access Manager?
The displayed owner and additional group owners will have access to the Group Access Manager.
How do I get somebody else access to the Group Access Manager?
You will need to submit a request for an additional group owner to be added to your group(s). As part of processing this request, we will give the new owner access to the Group Access Manager if they did not already have it.
How does somebody know if they have been added to a group?
The Group Access Manager does not notify people when they have been added to a group. It is the responsibility of the person who added them to notify the new group members.
How do I know if a group member needs to manually map to access a shared folder?
If the person added to the shared folder group is a student, or a faculty/staff member in another division, they will need to manually map. Instructions on how to manually map are available here.
If the person is in your division, please ask them to log out and back in after two hours, and they should be able to access the folder.
Is it possible to add a group to another group?
Adding a group to another group (also known as nesting) is not possible with the FIM Portal.
Security Groups:
Security Groups: A means of granting a group of people access to the particular resource for which the group has been assigned. If you are a member of the security group for a shared folder, that means you are authorized to access that folder.
The Group Access Manager is based on the idea of Security Groups- who belongs to them, and who controls them.
